Workspaces

Overview

Fillout forms live in the Fillout section of the side menu on your dashboard. It has:

• My forms - every form you can access that isn’t in a Fillout workspace
• Scheduling - your scheduling settings and events
• Fillout workspaces - folders you create to group forms and share them with your team. These used to be called Classic workspaces.

If someone shares a single form with you and it’s in a Fillout workspace, that workspace shows under Fillout with a Limited label. You only see the forms shared with you. The workspaces under Workspaces in the side menu are Zite workspaces. They hold Zite apps, automations and a database, but not Fillout forms. A form can still save its responses to a Zite database, the same way you can connect a form to Airtable or another database, but the form itself stays under Fillout.

Find a form that used to be in a Zite workspace

Forms that were in a Zite workspace are now under Fillout, then My forms, or in the Fillout workspace they were in before. They keep saving responses to the same database. In My forms and your Fillout workspaces, forms that save to a Zite database you can edit have a table icon. Hover over it to see which database the form saves to, or click it to open the table. If you can’t edit the database, the icon doesn’t show. If you can edit the Zite workspace, its home page also has a Forms section. It lists the Fillout forms that save responses to the workspace’s database, most recently edited first. Click a form to open it in the editor. Or click the Form options menu (⋯) next to it, then Edit form, or Go to workspace to open the Fillout workspace it’s in (Go to My forms if it isn’t in one). You only see the forms you have access to. The forms are still managed under Fillout.

Create a form from a Zite workspace

If you can create forms, you can add one that saves to the Zite workspace’s database:

1. Click New next to Forms on the Zite workspace’s home page.
2. Pick the Table the form saves to, or pick New table and give it a name.
3. Pick a Fillout workspace for the form. None puts it in My forms.
4. Pick a Theme, then click Create form.

The form opens in the editor, already linked to the table you picked. It’s named after the table and starts with a question for each of the table’s fields. Publish it when it’s ready, so responses start saving to the table.

Older apps and databases

Apps and databases made with the older version of Zite show in My forms under Needs update, with the message Apps and databases now live in workspaces. Click Update to move one over. It keeps working throughout. Click Update to move the app or database into a Zite workspace. It keeps working while it moves.

Create a Fillout workspace

Hover over Fillout in the side menu and click the plus icon . In the New Fillout workspace window, enter a name and click Create workspace. The new workspace opens, and you can click New form to add your first form. Fillout workspaces only hold forms. To build apps, create a Zite workspace with the plus icon next to Workspaces instead. You can also create one while moving a form. Click the three dots on the form, followed by Move to, then New workspace. The form moves into the new workspace.

Create a form in a workspace

Open My forms or a Fillout workspace and click New form. To learn more about the options, see Make a form. To start a form from Zite’s Home, use Fillout, then My forms. To make a form that saves to a Zite workspace’s database from the start, see Create a form from a Zite workspace.

Manage a Fillout workspace

Hover over the workspace in the side menu and click the three dots to see its options:

• Customize - change its name, icon and icon color
• Share - give people access to the workspace and its forms. Giving someone access to only this workspace needs the Team plan. On other plans, Share can only invite people to the organization as admins. See Granular permissions.
• Delete - delete the workspace

You can also click Share at the top of the workspace page.

Move a form

Click the three dots on the form, followed by Move to. Choose My forms, a Fillout workspace, or New workspace. You can only move a form into a Fillout workspace you can edit. Other workspaces are greyed out with You do not have edit access to this workspace. Ask an admin to grant you permission. New workspace follows the same rule as creating a Fillout workspace. Forms can’t be moved into a Zite workspace. If you want responses to go to a Zite database, link the form to the database instead.

Delete a workspace

You can only delete a Fillout workspace when it’s empty. If it has forms, Delete is turned off and shows You cannot delete a workspace that has forms in it. Move or delete the forms first. Move the forms to My forms or another workspace, or delete them. To delete an empty Fillout workspace, click the three dots next to it in the side menu, then Delete, and confirm with Delete workspace. If you move a Zite workspace to the Trash, the forms that save to its database aren’t deleted. The Move to trash? window tells you how many, for example: 1 Fillout form saves its responses to this database. It stays in Fillout and keeps saving here until the database is permanently deleted. After the database is permanently deleted, link each form to another database from its Integrate tab.
